Terms and Policies

By submitting an application, registering, or making payment for the Orfeo Summer Academy & Festival (“Orfeo”), the participant, or the participant’s parent or legal guardian if under 18, agrees to these Terms and Conditions.

1. Application and Admission

Submission of an application does not guarantee admission. Orfeo reserves the right to accept or decline applicants and to determine appropriate program, faculty, ensemble, repertoire, and performance placement.

Applicants are responsible for providing accurate information and authentic application materials.

2. Participant Conduct

Participants must comply with Orfeo policies, applicable laws, housing and venue rules, and standards of respectful and professional conduct.

Orfeo may dismiss a participant for serious or repeated misconduct, illegal activity, unsafe behavior, or substantial violation of Festival policies. Dismissal for participant misconduct does not entitle the participant to a refund.

3. Program and Schedule Changes

Faculty, repertoire, schedules, venues, performances, ensemble assignments, housing arrangements, and individual program components may change when reasonably necessary for artistic, educational, operational, or circumstances beyond Orfeo’s control.

Orfeo will make reasonable efforts to provide the substantially equivalent program for which the participant enrolled.

4. Festival Locations, Housing, and Meals

Orfeo Summer Academy & Festival activities take place at designated Festival locations and partner venues.

Housing and meal arrangements depend on the participant’s selected program. Participants must comply with the rules of all accommodations and host facilities.

Participants choosing alternative accommodations are responsible for arranging and paying for them unless otherwise agreed in writing by Orfeo.

Participants are financially responsible for property damage caused by their intentional acts or negligence.

5. Program Inclusions

Program inclusions vary by enrollment and may include private lessons, coaching, masterclasses, chamber music, ensembles, rehearsals, performance opportunities, Festival concerts, accompaniment, practice facilities, housing, meals, cultural programming, and other activities described in the applicable program materials.

Specific activities and performance opportunities are subject to placement, scheduling, faculty availability, instrumentation, and artistic considerations.

6. Payment and Refund Policy

Enrollment is confirmed upon receipt of the required payment.

Cancellations made within forty eight hours of the initial payment are eligible for a refund. After that period, payments are non-refundable except where required by law or otherwise agreed by Orfeo in writing.

Orfeo is not responsible for airfare, independently arranged lodging or transportation, visa costs, insurance, or other third-party expenses.

If Orfeo cancels a participant’s program and does not provide a substantially comparable alternative, payments made directly to Orfeo for that cancelled program will be refunded.

Cancellation requests must be submitted in writing to info@orfeomusicfestival.com.

7. Travel and Insurance

Participants are responsible for passports, visas or travel authorizations, transportation to and from the program, and compliance with applicable entry requirements.

Travel and medical insurance are strongly recommended, including appropriate coverage for trip cancellation, interruption, medical expenses, baggage, and musical instruments.

8. Medical Care

Participants are responsible for their own medical expenses.

In an emergency, Orfeo may seek appropriate medical assistance when reasonably necessary. For participants under 18, the parent or legal guardian authorizes Orfeo to seek emergency medical care if the parent or guardian cannot reasonably be reached.

9. Personal Property

Participants are responsible for their instruments, luggage, electronics, and other personal property.

Orfeo is not responsible for loss, theft, or damage to personal property except to the extent responsibility cannot legally be excluded.

10. Photography, Recording, and Media

Participants grant Orfeo permission to photograph, audio-record, and video-record Summer Academy & Festival activities and performances and to use such material for Orfeo’s archival, educational, promotional, and communications purposes without additional compensation.

11. Minor Participants

A parent or legal guardian must accept these Terms and Conditions for any participant under 18 and is responsible for required payments, permissions, and information relating to the minor participant.

12. Force Majeure

Orfeo is not responsible for delays, changes, or inability to perform caused by circumstances beyond its reasonable control, including natural disasters, government restrictions, public-health emergencies, war, civil unrest, transportation disruption, labor actions, or venue unavailability.

Orfeo may reasonably modify, postpone, relocate, or cancel affected activities. Refunds or credits, if any, will be determined under the applicable refund policy and applicable law.

13. Payment Authorization

By submitting payment, the payer confirms that they are authorized to use the payment method provided and authorizes Orfeo to charge the amount shown.

14. Governing Terms

These Terms are governed by the laws of the State of Texas, except to the extent mandatory law applicable to a participant requires otherwise.

If any provision is found unenforceable, the remaining provisions remain in effect.

Any dispute should first be addressed through good-faith written resolution between the participant and Orfeo before either party pursues other available remedies.

15. Acceptance

By submitting an application, registration, or payment, the participant or responsible parent/legal guardian confirms that they have read and agree to these Terms and Conditions.
